Supplier control
Supplier bank details that nobody can change on their own
A "please note our new bank details" letter is the most common way businesses lose money. In EzeFlow a payment can only go to a supplier on your approved list, and every new supplier or change of bank details is checked by two people against the proof before anyone can pay it.

What you get
Approved suppliers only
Requesters pick the payee from the approved supplier list of their organization. The name and bank details come from that list, so nobody types an account number.
Two people authorise each new supplier
A new supplier is added with its proof, such as the bank's confirmation letter. Two reviewers, never the person who added it, compare the details with the proof before it can be paid.
Bank-detail changes too
A change of bank details starts a new round: two people authorise it again. Until then the supplier cannot be paid or put in a bank batch.
Full number only while checking
Reviewers see the full account number while they check and record how they checked. Everywhere else it is masked, and it is stored encrypted.
Shared between organizations
When several organizations pay the same supplier, they share one record with one set of bank details, never a second copy.
Supplier list report
Every supplier per organization: who added it, who authorised it and when, and what was requested, paid and is still open. CSV, Excel and PDF.
How it works
-
1
Add
A requester adds a new supplier while requesting a payment, with the bank letter as proof. The bank team sees it waiting for authorisation.
-
2
Check
Two reviewers compare the details with the proof, say how they checked, and authorise.
-
3
Pay
Once authorised, the supplier appears in the payee list of its organizations and can go into an FNB batch.
-
4
Watch
A later change to the bank details needs two authorisations again, and a batch warns about details changed after approval.
Can one person add a supplier and pay it?
No. The person who adds a supplier, or changes its bank details, can never be one of the two who authorise it. Until two people have authorised it, it cannot be paid or put in a bank batch.
What proof do reviewers check?
Usually the bank's confirmation letter or a stamped statement, uploaded when the supplier is added. Reviewers see it next to the full account number and record how they checked, for example that they phoned the supplier on a number they already had.
Two branches pay the same supplier. Do we capture it twice?
No. If the account number is already on your list at the same bank, EzeFlow links the existing supplier to the other organization instead of creating a copy.
How does this work with FNB?
Bank batches only take authorised suppliers, and each organization's latest FNB beneficiary export is compared with your list, so a supplier FNB does not know yet is flagged as new.
